How to Organize Notes: A System for Retrieval, Not Storage
Most digital note-takers are accidental hoarders. They clip articles, save screenshots, and jot down half-formed thoughts into a “junk drawer” app, hoping that by simply capturing information, they are somehow learning it. This is the Collector’s Fallacy. Learning how to organize notes effectively isn’t about finding a perfect filing cabinet; it is about architecting a system that prioritizes your future self’s ability to find and use that information.
When you save a note, you are creating a debt. You must eventually pay that debt by processing, titling, and linking the note so it becomes useful. If you don’t, your knowledge base becomes a graveyard of dead data. To build a functional system, you must move away from “where does this go?” and toward “in what context will I want to see this again?”
The Failure of the Folder Hierarchy
Traditional folder structures are rigid and fragile. They force you to choose one single location for a note. If you have a note about “AI-driven copywriting for SaaS,” does it go in the ‘Marketing’ folder, the ‘Artificial Intelligence’ folder, or the ‘SaaS’ folder? This decision creates friction. Every second you spend debating a folder location is a second you aren’t thinking about the content itself.
In a digital environment, folders should be used sparingly, primarily for high-level categorization of active work. For everything else, a flat structure supported by robust links and metadata is superior. Folders are for storage; links are for thinking. - Archives: This is the “cold storage” for completed items from the other three categories. Never delete a project; archive it. You never know when a 2019 project plan will provide the template for a 2024 success.
By moving notes between these categories based on actionability, you keep your workspace lean. Your “Projects” folder stays small, containing only what matters right now. This prevents the cognitive overwhelm that occurs when you see 500 folders every time you open your app.
The Micro-Level: Atomic Notes and Zettelkasten
If PARA handles the “where,” the Zettelkasten method handles the “what.” The most common mistake in note-taking is creating massive, 3,000-word documents that cover five different topics. These are impossible to navigate and even harder to link to.
Instead, strive for atomicity. Each note should contain exactly one idea. If you are reading a book on behavioral economics and find three distinct concepts—Loss Aversion, The Endowment Effect, and Hyperbolic Discounting—create three separate notes.

Metadata is the data about your data. Most modern tools (like Obsidian, Tana, or Notion) allow you to add properties or tags to your notes. Do not use tags to replicate folders (e.g., #marketing). Instead, use tags to track the status and type of the note.

Using this system, you can instantly filter for all “evergreen” notes related to “psychology” when you are ready to write a blog post. You aren’t searching through a pile of junk; you are querying a database of your own thoughts.
Maps of Content (MOCs)
As you accumulate hundreds of atomic notes, you will feel lost. A Map of Content (MOC) is a “hub” note that links to other notes within a specific theme. Think of it as a dynamic table of contents that you build manually.
If you have 20 notes on “Remote Work,” create a “Remote Work MOC.” In this note, you don’t just list the links; you write a few sentences of context for each. “We struggle with remote work because of [The Proximity Bias], but we can mitigate this by [Asynchronous Communication Protocols].”
An MOC allows for “emergent structure.” You don’t decide the structure of your knowledge base on day one. You let the notes accumulate, and when you feel a “cluster” forming, you build an MOC to tie them together. This is bottom-up organization, which is far more resilient than the top-down folder approach.
The Workflow: Capture, Curate, Connect
Organizing notes is a continuous process, not a weekend project. Follow this three-step loop:
- Capture: Get the idea into the system as fast as possible. Don’t worry about formatting yet. Use a “Daily Note” or an “Inbox” folder.
- Curate: Once a week, go through your Inbox. Give the notes better titles, add metadata, and move them into the PARA structure. If a note is a duplicate or no longer interesting, delete it.

Check your #status/seed tags. Can any of them be promoted to #status/evergreen? Look at your Projects folder. Are any of those projects finished and ready for the Archive?
